Job Desctiption:
The Office Manager at Discount Hardware will be responsible for overseeing and coordinating all administrative functions to ensure the smooth operation of the office and support the wider business. This role requires a detail-oriented professional with strong organizational skills who can manage day-to-day office activities, supervise administrative staff, and provide efficient support to management.
The Office Manager will serve as the backbone of the business, ensuring accurate record-keeping, effective communication across departments, and compliance with company policies. The role requires balancing administrative efficiency with professionalism and customer-focused service.
Key Responsibilities
1. Oversee and manage daily office operations to ensure efficiency and productivity.
2. Supervise and coordinate the work of administrative staff, providing guidance and support.
3. Manage office correspondence, phone calls, filing systems, and documentation.
4. Maintain accurate financial and administrative records, including invoices, receipts, and petty cash.
5. Assist with payroll preparation, staff attendance tracking, and HR-related documentation.
6. Support management with reporting, scheduling, and meeting coordination.
7. Monitor and manage office supplies, ensuring cost-effectiveness and timely procurement.
8. Liaise with external stakeholders, including suppliers, service providers, and regulatory bodies, in a professional manner.
9. Ensure compliance with company policies, legal requirements, and workplace health and safety standards.
10. Contribute to a positive workplace culture by fostering teamwork, professionalism, and service excellence.
Selection Criteria:
Experience
Minimum 3–5 years of experience in office administration, coordination, or management.
Previous experience in retail, hardware, or a related industry is an advantage.
Qualifications
Diploma or Degree in Business Administration, Management, or a related field (preferred but not mandatory).
Skills
1. Strong leadership and organizational skills with the ability to manage multiple priorities.
2. Proficiency in MS Office (Word, Excel, Outlook) and basic accounting software.
3. Excellent verbal and written communication skills.
4. High level of accuracy, attention to detail, and problem-solving ability.
5. Strong interpersonal skills with the ability to work effectively across all levels of the business.
Languages
Proficiency in English (essential).
Knowledge of Bislama and/or French is an advantage.
