Organisation Description:
Dynamic Supply Co Ltd is the leading wholesale supplier of food products to the resort, restaurant, cruise liner and commercial kitchen markets in Vanuatu. Dynamic also has a retail store to support our wholesale customers and the local consumer market, and a butchery business that manufactures products for both our wholesale and retail customers. Dynamic imports a large range of frozen, chilled, and ambient products from New Zealand, Australia, and Europe, as well as sourcing local meat, fruit, and vegetables to service our customer base. We have a warehouse operation encompassing frozen, chilled, and ambient storage in Port Vila and we distribute across Efate and other Vanuatu islands from our warehouse in Port Vila.
Dynamic has been a strong presence in the Vanuatu market for over 8 years and has experienced a period of rapid growth since COVID and we are looking to expand our business further. We are building our team to enable this growth and take Dynamic Supply Company successfully towards a prosperous future.
Job Desctiption:
This role reports to the General Manager and has 3-4 direct & 20 indirect reports reporting through to it.
Leadership:
• Active membership of the senior leadership team, working closely with other divisional heads – Sales, Marketing, Retail & Customer Service, Procurement, Finance, Butchery.
• Leading, coordinating, managing, and monitoring the day-to-day operations relating to logistics & warehousing, including inward and outbound supply chain distribution.

• Leading the warehouse operations team, including recruitment, performance management, process ownership, upskilling staff and building culture.
• Improving processes and policies in support of our goals and vision.
• Continuous cross-training and upskilling of the warehouse team.
• Ownership of building and maintaining team & company culture.
Warehousing & Logistics:
• Proactive planning for inward stock & containers to allow swift devanning, put away & stock availability.
• Oversee inward stock processes and ensure all quality, compliance & regulatory checks are efficiently completed.
• Build effective relationships with shipping, airline, governmental and customs representatives as appropriate.
• Ensure the warehousing of all frozen, chilled, and ambient products is best practice, enabling efficient picking, packing & replenishment.
• Maintain high productivity across the warehouse team, keeping labour and warehousing costs as low as practical while ensuring an excellent customer experience with accurate and on time deliveries.
• Build & maintain accurate & timely operational data for measuring performance, customer experience, inventory & financials.
• Ensure the truck & forklift fleet is well maintained and available for use, and drivers suitably licensed and trained.
• Ensure the organisation's refrigeration and power generation assets are well maintained and monitored, and processes are in place to manage power outage risks.
• Maintain a clean and safe yard and site.
Inventory Management:
• Responsibility for all stock / inventory management on site.
• Ensure cycle counts & stock takes are conducted regularly and accurately, according to a predetermined schedule.
• Active management of best before & expiry dates, damaged goods and returned goods.
• Ensure the inventory system data is always accurate, and the business knows exactly how much of each product & sku we have at all times, including batch & expiry dates, and product location in the warehouse.
Health & Safety:
• Ensure every member of the warehouse team operates in a safe and healthy work environment.
• Always manage and maintain our HACCP accreditation.
• Maintain and ensure adherence to all safety protocols & documentation, including proactive hazard identification and risk mitigations, accident reports, and audit actions.
• Ensure appropriate health & safety processes & signage are in place, and the appropriate equipment and PPE gear is being utilized.
• Site safety checks to be completed and documented as required on contracts and at appropriate times on all other sites.
• Contribute to a positive culture regarding Health and Safety.
• Champion and provide leadership to ensure staff in the field are complying with health and safety responsibilities as per Company H&S Policy.
Systems & Technology Implementation:
• Work with the GM to implement appropriate technology solutions to help streamline operations and enhance customer experience.
• Lead the warehouse team in adopting and using all systems.
• Review and enhance systems as required to ensure Dynamic is as efficient and accurate as possible
Selection Criteria:
• Demonstrated achievements in warehousing, logistics & inventory, service delivery, cost management, people leadership, quality, and process improvement.
• Previous & proven experience working within a professional foodservice distribution or supply chain business.
• Current driver's license.
• Current Aus/NZ forklift license.
• Excellent organisational and administrative skills.
• Excellent communication skills, both verbal and written.
• First aid trained.
