Building upon the
foundation work undertaken during 2016/17, the New Zealand Government in
collaboration with the Government of Vanuatu is initiating a range of
supports to the Vanuatu Beef Cattle Industry. The Beef Cattle industry has
met challenges in recent years and the MALFFB and MTTC&I - with support
from the New Zealand Government - is now working to rebuild the Beef Cattle
industry prosperity and realise its potential contribution to the greater
economic and social well-being of Vanuatu.
Implemented by No. 8 Gauge Ltd, the Project – ‘Nambawan Buluk’ - has now established an office in Luganville, Espiritu Santo for the purpose of managing the proposed supporting activities for this Stage 2.
Needed is the
key position of ‘Project Manager’ to drive the Nambawan Buluk Project’s
activities.

Job Description
|
Project Manager tasks:
o To manage and be accountable for the delivery of the work streams in-country around each of the Project’s nine (9) Outputs in the Stage 2 design document; o To ensure productive working relationships with the Project’s in-country partners and visiting NZ-based partners to the Project where especially a strong focus on one-on-one dealings with beef cattle farmers is needed; o To provide in-country input into the quarterly reporting to the Project’s key partners (Govt of Vanuatu, beef cattle farmers, the wider beef cattle industry and NZ Government); o To manage the expenditures of the Project in-country and report on same; and o To provide good management of the Project’s in-country personnel. |

Person requirements:
‘Must have’: * Some exposure to the management of projects. * An Agriculture-related or Management Degree or have equivalent years of experience. * Been involved in the written reporting on project activities. * Some familiarity with project expenses and their management. * An ability to write and speak fluently in both English and Bislama - and must therefore be Ni-van. * Computer skills in MS Office. * A current drivers licence. ‘Highly desirable’: * While a knowledge of the beef cattle industry is not critical, some familiarity would be regarded as highly desirable. * Have worked with farmers though not necessarily beef cattle farmers. * Have made presentations to groups. |

Purpose of the job: The Administration & HR Support Officer will assist the CEO with administrative tasks related to the management of Vanuatu Red Cross Society and will work closely with the HR/Admin Officer to support HR administration requirements. Purpose of the Society Founded in 1982, Vanuatu Red Cross Society (VRCS) is a major stakeholder in the humanitarian system. The Society is recognized by the Government as auxiliary to the public authorities in the humanitarian field in accordance with the provisions of the First Geneva Convention. The organization is also one member of the National Disaster Committee. VRCS has identified Disaster Management and Disaster Preparedness as one of its main areas of intervention with a particular focus on community based disaster preparedness. It also implements a Health Program, whose main components are First Aid and Hygiene Promotion. The organization also encourages Youth participation and promotes the International Humanitarian Law. VRCS has branches in 6 different provinces and numerous sub-branches. It can also rely on a solid network of trained volunteers all over the country. Around 30 staff members are currently working at HQ in Efate, while around 20 are working in the other islands. |

Job Description

Under the supervision and
direction of the CEO, the Administration & HR Assistant will be
responsible for:
1. Administration Duties • Records accurate meeting minutes and distribute promptly to relevant staff/stakeholders • Ensures effective and efficient filing systems are in place and files all information accordingly. • Protects operations by maintaining confidentiality of information. • Drafts letters and documents as requested by the CEO. • Maintenance of databases. • Other administrative duties as required. 2. HR Administration • Assists in the development of HR administrative processes. • Works with the HR/Admin Officer to ensure up to date personnel records for all VRCS staff; • Supports the preparation of visas for all expatriate staff working at VRCS; • Assists in the management of VRCS recruitment processes. 3. Calendar Management • Maintains CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. • Conserves CEO's time by reading, researching, and routing correspondence; collecting and analyzing information; initiating telecommunications. 4. Reception Duties • Welcomes guests by greeting them, in person or on the telephone; answering or directing inquiries. 5. Office Management • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies. |

• Post-secondary education, year 13 or above; • Minimum 5 years experience working in administration; • Experience working with NGOs/not-for-profit organisations; • Experience working as a personal/executive assistant (highly regarded); • Experience working in HR administration (highly regarded).
