Officer to provide administration and general accounts support for VASANOC

Job Desctiption:


This role will be responsible for the following:
• Accounts filing of all Debtors and Creditors daily under the direction of the Finance Officer;
• Filing bank statements and debit card receipts daily under the direction of the Finance
Officer;
• Prepare cheques and wire transfers under direction of Finance Officer, ensuring all Purchase
Request Vouchers (PRV) have been attached, the correct authorises have authorised and an
invoice is attached to the PRV;
• Banking of all cash and cheques under direction of Finance Officer;
• Reception; answer calls, greet all visitors, assist in meetings with lunches etc
• Prepare all Solidarity reports for Finance Officer;
• File correctly all Solidarity receipting, proving all spend to Finance Officer.
• Assist Finance Officer in drafting annual budgets;
• Process financial data into MYOB under the direction of the Finance Officer;
• Assist Finance Officer, and Chief Executive Officer in delivering timely reconciled month end
management accounts;

Main Duties:
Finance & Administration

• Receive and reconcile all Solidarity receipts from member sports, providing Finance Officer
with a detailed expense report (in excel format) for each receipt;
• Prepare Solidarity report form for Finance Officer to authorise;
• Do daily banking of all cash and cheques deposits ensuring Finance Officer has authorised
before taking to the bank;
• Under direction of the Finance Officer file all accounts daily, this includes: Creditors, Debtors
and Solidarity applications, member receipts, bank statements as per VASANOC policies and
procedure for the accounting function of VASANOC;
• Ensure when accepting member sports receipting for Solidarity grants that all receipts are
accounted for and total to the amount of the grant;
• Assist Finance Officer in daily duties;
• Prepare for processing all invoices for entering into MYOB with correct GL codes and class
numbers and under the direction of the Finance Officer;
• Prepare all accounts payable invoices for payment, write cheques prepare Wire transfers
under the direction of the Finance Officer;
• Ensure always that all invoices and payments processed comply with the approved budget
and appropriate authorisations are up held;
• Respond to vendor enquires and follow up all, until satisfactorily resolved;
• Ensure any sales invoices issued are correctly authorised and comply with VASANOC policies
and procedures, and are processed in the correct year, and statements issued as
appropriate;
• At all times check that the relevant persons authorise expenditure items correctly;
• Maintain an orderly accounting filing system, under the direction of the Finance Officer;
• Assist VASANOC staff with accounting issues and enquiries in consultation with Finance
Officer;

Accounting for Funding

• Prepare a calendar of grant compliance reporting for VASANOC;
• Ensure financial records are kept for each Solidarity Grant in a manner that assist VASANOC
in its management reporting, as prescribed by consultant;
• Reconcile each grant and provide accurate and timely reporting to the Finance Officer in
ready for Solidarity Reporting;
• In conjunction with Finance Officer ensure that accurate and timely financial information is
prepared in accordance with contract agreements with funders;

Additional Duties:
• Promote the interests of VASANOC and act as a representative of the Organisation;
• Undertake any other duties that the Chief Executive Officer, Finance Officer reasonably
requests to be performed that are within the expertise and skills of the job holder;

Selection Criteria:
Essential
• Advanced computer skills especially in the use of accounting packages, the Microsoft office
suite and data bases as well as the ability to quickly learn new software programmes. MYOB
experience would be an advantage;
• Proven experience in working with debtors, creditors and reconciliations;
• Proficient in accounting up to year 11 or 12 or experience with accounting in the workforce;
• Proven ability to work to a very high standard of accuracy and attention to detail in a busy
environment;
• Must be extremely organised and able to demonstrate proactivity and prioritisation skills to
meet agreed deadlines;
• Excellent interpersonal skills and the ability to deal with internal and external customers;
• Excellent skills in data analysis and presentation and very process oriented;
• Must be flexible and adaptable;
• Able to deal with confidential information and /or issues using discretion and judgement;
• An enthusiastic approach to administration and accounting;
• Able to understand, read, write, speak in French, English and Bislama;

Preferable
• Ability to work with volunteers;
• Have a valid Driver's License;

Salary:
300,000VT to 360,000VT : Depending on qualifications, experience and skills; Part-Time: 4 hours per Day for 5 Days per Week;
